Xi Chapter Minutes
Fall Meeting October 11, 2012
The meeting was held at the Mays Landing Library.
The meeting was opened by President Janel Schafer.

Janel began by welcoming our guests Karen Santora, Stephanie Gibbons, and Vicky Myers.
Thought for the Day was presented by Amy Gold.

Old Business
Janel Schafer reported that the recent membership open house was a success and we may have 5 new members. We should hold others in the future.
Upcoming chapter events include the Breast Cancer Walk on October 21st and a visit to Gilda’s Club on November 30th.
New Business
There being no further business the meeting was adjourned at 7:25PM.
Program
Xi technology: Improving Chapter Communication Through Technology followed. Sisters were shown how to use the chapter website and what is available on it. They were also given the opportunity to sign up for updates via text message through Send Hub. Any questions about Sign-Up Genius and Choose-a-Date were answered.

Officers' Reports:
- Jane Flanagan made a motion to approve the minutes from the May 8, 2012 meeting. Lou Schultz seconded. The minutes were approved as corrected and entered into the Association records.
- Treasurer’s Report- Lynn Creelman reported a beginning balance of $1724.41 as of May 8, 2012. Income totaled $193.06 and expenses totaled $470.00, leaving a current balance of $1,447.47. Lynn is now collecting membership dues of $65.
- Vice President’s Report- Jane Flanagan asked that the membership vote on a book to be read for a state convention workshop. The sisters voted and chose Gone Girl.
- Correspondence- Judi Marzolino reported that she sent sympathy cards to other chapters and a congratulatory card to State President Roxanne Adinolfi on the birth of her grandchild. She also received a thank you note from Gilda’s Club and a resignation letter from Nancy Beach.
- Parliamentarian-Gail Harris reported that there have been changes made to the state by-laws.
Committees:
- Membership: Loretta Leyrer distributed booklets for updates to members’ binders. She will send a letter to Nancy Beach asking her to stay on as a member. She asked sisters to encourage prospective members to join our sorority. The membership open house held at Janel’s on October 3rd was well attended.
- Programs/Personal Growth- Kathy Reichert that our December 11th meeting will be a holiday get-together at Janel’s home. Please bring a Pollyanna gift costing no more than $25 and sign up for a dessert or beverage. A meal will be provided for under $15. We are also being asked to wear hats in honor of the 75th anniversary at convention this year and we are considering making “fascinators” for the event.
- Leadership Development- Patty Carmen- No Report
- Fundraising - In Lila's absence, Janel Schafer reported that there will be no scrapbooking event this year, but a more permanent committee is needed to plan a bigger event for later in 2013. This event could be advertised to our website as well as the State Sales site and promoted on our social networks. It could grow into an annual event for sisters from all over the state. Our goal is to plan an event to be advertized at convention. Contact Lila if you would like to help.
- Outreach& Service- Natalie Morris reported that she, Janel Schafer, Lila Williams, Loretta Leyrer and Linda Zarych served breakfast at the Rescue Mission in September. Our next visit will be in April. She will send out an updated list of items we are collecting for the Women’s Center. We are scheduled to visit Gilda’s Club on November 30th at 5:30. Linda Zarych reported that 34 Little Dresses for Haiti were completed and sent. We have received photos of the children wearing them and we are planning to make more in the future.
- World Fellowship/ Yearbook- Randy Levy asked that we e-mail her with home or e-mail address changes as well as job description changes.
- Legislative Action- Janel Schafer will continue to send updates via e-mail.
- Scholarship-Janel Schafer asked for volunteers to serve on the scholarship committee with Kathy Barish. She reminded us that our ability to provide scholarships is dependent upon our success in fundraising. Lou Schultz will look into Toni Aurelia’s gift of $50 to an eighth grader for next spring. Next year we will begin a $250 award for a senior who plans to major in education and dedicated to Xi chapter members who have passed. We are considering possible grants to teachers in our district. This could be in the form of grants or gifts of designated amounts to support classroom activities such as school related travel or training, ultimately resulting in an increased awareness of our Xi chapter and an appreciation of our members. We could provide a scholarship page and application on our website.
- Convention-Sandy SantaMaria reported on the 75th anniversary state convention to be held on April 12-14, 2013. Our chapter’s assignment is Chapter History Boards and Certificates. There will be no record books displayed this year. Convention information will be available on the Alpha State website in January. Registration will be $42.00 for hotel guests and $52 for commuters. And will be available on line. Workshops will be in the morning only. Sandy made a motion to set up a booth at convention to sell jewelry with profits to be sent to Haiti. Monica Taylor seconded the motion which was passed. Linda Zarych and Marylynn Stecher will coordinate the sale. Each chapter will donate 50 paperback books to the book sale. Sandy will be our Banner Carrier.
- Archives-Lou Schultz reported that our archives are complete and a report has been sent to the state chair. Information on the history of Xi is available on our website. Lou will work on a board for convention. Any pertinent information from presidents’ books should be given to her.
- Social- We thank Gail Harris and Natalie Morris for coordinating the meeting.

New Business
- Monica Taylor made a motion to reimburse Janel Schafer for a one-time fee of $15 as payment to have our website certified. Judi Marzalino seconded the motion which was passed.
- Janel Schafer asked for a volunteer to type our rules and by-laws so that they can be saved to the chapter flash drive (archives) and put on the website so that members can download them. Our site will not be approved until this is done.
- Janel Schafer reported on convention baskets. An “Apple for the Teacher”basket is almost complete. A small rose basket is complete.
- Loretta Leyrer will coordinate completion of the “Jersey Girl” basket with a value of $100. Please bring items for this basket to the next meeting.
- Discussion was held on making “fascinators” for the convention.. These would be worn at meals and meetings and with gloves at the luncheon. They could be made from headbands and silk flowers.
- Discussion was held on improving attendance at meetings and chapter events. We will keep attendance along with meeting minutes and send notes to those who miss. A “buddy system” could be a personal way to remind one another of meetings. Ice breakers and raffles will be held at meetings. Birthday card exchange could be reinstated as well as secret sisters and sharing photos of chapter activities.
- Judi Marzalino made a motion that we send a Wawa card to Winnie Witmer and her husband who is ill. It was voted on and passed.
- Our next meeting will be at the home of Janel Schafer’s- 345 Chicago Ave., Egg Harbor City. It will begin at 4:30. Please bring a $25 gift for our cut throat Santa.
